Your data, kept simple.
This policy explains what information Run Crew collects, how we use it, and the choices you have. We try to keep it plain and short.
1. Who we are
Run Crew (“we”, “us”, “our”) operates the Run Crew mobile application and website (the “Service”), which helps people find and host local running meet-ups. If you have any questions about this policy, contact us at info@runcrew.fit.
2. Information we collect
We collect only what we need to run the Service:
- Account information — your name, email address, profile photo, and any details you choose to add to your profile (e.g. pace, preferred distance, bio).
- Run and activity data — the runs you create, join, host, or save; messages you send in run chats; and your role in each crew.
- Location data — approximate or precise location when you choose to find runs near you or share a meet-up point. Location is used in-session and is not continuously tracked in the background.
- Device and usage data — device type, operating system, app version, language, IP address, crash reports, and basic analytics (screens viewed, features used).
- Communications — when you email us or respond to a survey, we keep that correspondence so we can follow up.
We do not knowingly collect data from children under 13 (or the minimum age in your country). If you believe a child has provided us with personal data, contact us and we will delete it.
3. How we use your information
- To create and maintain your account.
- To show you nearby runs and let other runners find your crew.
- To enable chat, RSVPs, and host approvals.
- To send service-related notifications (e.g. a run reminder, a join request).
- To keep the Service safe — preventing fraud, spam, abuse, and policy violations.
- To understand how features are used and improve them.
- To comply with legal obligations.
We do not sell your personal information. We do not use your data to train third-party advertising profiles.
4. How information is shared
- With other users. Your name, profile photo, and any runs you host or join are visible to other Run Crew users. Messages you post in a run chat are visible to participants of that run.
- With service providers. We use trusted vendors for hosting, authentication, analytics, crash reporting, and messaging (for example, Google Firebase). They process data only on our instructions.
- For legal reasons. We may disclose information if required by law or to protect the rights, safety, or property of Run Crew, our users, or the public.
- In a business transfer. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred, subject to this policy.
5. How we keep your data
We retain personal data for as long as your account is active or as needed to provide the Service. You can delete your account at any time from the app’s settings, after which we will delete or anonymise your personal data within a reasonable period, except where retention is required by law.
We use industry-standard safeguards — encryption in transit, access controls, and reputable infrastructure providers — to protect your information. No system is perfectly secure, but we work to limit risk.
6. Your rights and choices
- Access & portability — request a copy of your data.
- Correction — update inaccurate information directly in the app or by contacting us.
- Deletion — delete your account, or ask us to delete specific data.
- Objection & restriction — ask us to stop or limit certain processing.
- Withdraw consent — where we rely on consent (e.g. location, push notifications), you can revoke it in your device settings.
- Complain — you can lodge a complaint with your local data protection authority. If you’re in the UK, that’s the ICO.

7. Cookies and similar technologies
Our website uses a small number of cookies and similar technologies for essential functionality and aggregated analytics (e.g. Google Analytics). You can block cookies in your browser settings; some parts of the site may not work as expected if you do.
8. International transfers
Run Crew is operated from the United Kingdom. If you use the Service from outside the UK, your information may be transferred to and processed in countries with different data-protection laws. Where required, we put in place appropriate safeguards (such as Standard Contractual Clauses) for those transfers.
9. Changes to this policy
We may update this policy from time to time. If we make material changes, we will let you know via the app or by email before they take effect. The “Last updated” date above tells you when this version was published.
